The American Civil Liberties Union Foundation (ACLU), founded in 1920, is a nationwide, nonprofit, nonpartisan organization with more than 500,000 members dedicated to the principles of liberty and equality embodied in the U.S. Constitution.  The Affiliate Support and Advocacy Department of the National Office in New York City is seeking applicants for the full-time position of Intranet Manager.


OVERVIEW

Through its affiliates, members, and national staff, the ACLU has a presence in every state across the country.  Each affiliate works with its state's legislature and policymakers to further the protection and advancement of civil liberties.

The Intranet Manager will report to the Director of Affiliate Marketing and Communications.  The Intranet Manager will be responsible for maintaining and enhancing an organization-wide intranet database to deliver high quality, up-to-date, accurate and useful information for a user audience of about 1,000 people in the ACLU community including staff at all national offices, 53 ACLU affiliates and national chapters throughout the country, and key volunteers at the national and affiliate level.


ROLES AND RESPONSIBILITIES

  • Manage the intranet and the needs of content contributors and end users, by troubleshooting users’ problems, and devising plans and roll-out strategies for new enhancements. 
  • Create and post web content, integrate front-end content and design with back-end technology capabilities.
  • Ensure adherence to technical and design guidelines and monitor the intranet for consistency, functionality and standards, including content tagging system and user access levels.
  • Serve as the Intranet Content Management and Collaboration System (SharePoint) owner, administrator and functional expert; field all questions relative to form, fit, or function.
  • Classify the requirements and work closely with IT staff and tech providers to configure and customize the intranet’s technology in order to meet known and emerging business needs and resolve technical problems.
  • Coordinate team resources for new web content development/updating
  • Align team priorities with editorial calendar/management needs; develop and manage overall relationship with IT support teams.
  • Provide individual and group training, documentation and support for decentralized end-users and content contributors posting directly to the site to ensure facile, high-quality and timely content publication.
  • Support users (content managers, other users) to develop and manage new groups. Work proactively with content managers to promote consistent practice for information management, and to facilitate networking and information exchange and skill-sharing.
  • Oversee and administer site security and user administrator logins.
  • Oversee ongoing monitoring of site performance and usage statistics, perform site audits, analyze the data in order to  recommend and implement necessary changes.
  • Continuously evaluate site architecture and implement changes as needed.
  • Serve in an advisory role for Intranet based internal communications projects and business tools.
  • Provide editorial leadership for intranet content, and oversees daily content and coordinates postings from several content publishers from ACLU offices nationwide.
  • Identify and track resolution of software bugs.
  • Promote awareness and use of the intranet.
  • Work with staff to identify potential intranet content and features and allocate intranet resources.
  • Review and analyze feedback and concerns from intranet stakeholders and users throughout the organization; analyze site metrics on an ongoing basis, taking action where appropriate to drive usage and enhance content.
  • Oversee affiliate user administrators and provide support in managing affiliate users’ accounts.
  • Stay abreast of best practices in intranet management and apply them to the ACLU’s intranet.

EXPERIENCE AND QUALIFICATIONS

·         Bachelor’s degree required and 5 years of professional experience in web publishing or in a related field.

·         Demonstrated experience in publishing or administering Microsoft SharePoint sites preferred, or experience with a comparable web publishing system.

·         Demonstrated experience in working with site architecture, search functions, metatagging and implementing best practices related to web publishing.

·         Ability to track and analyze web metrics.

·         Ability to design web content, as well as draft and edit web copy. Familiarity with HTML and web design tools.

  • Experience in conducting trainings and/or providing one-on-one coaching in web content posting for all levels of staff.

·         Ability to foster collaborative work relationships at all levels in the organization, from senior staff to administrative support personnel.

  • Highly proficient in Microsoft Office Suite (i.e. Word, Excel, Outlook, PowerPoint, Publisher, etc.) and Internet Usage.
  • High level of attention to detail and the ability to work in a fast-paced environment.
·         Excellent customer service skills, with the ability to respond effectively to questions and feedback from intranet users and stakeholders.
·         Excellent organizational and communication skills.
  • Must be self-motivated with the ability to handle multiple tasks, demonstrate grace under pressure and possess the ability to work well both independently as well as within a team.
  • Demonstrated commitment to the mission of the ACLU.
