This role is responsible for the management, coordination, and driving from start to successful completion therestructure of allof the Company’s shared drives.  This includes, but is not limited to,  the analyses of business requirements, recommend, developand/or reengineer file structures to meet business requirements, identify key corporate records, identify records/documents that can be destroyed based on current retention policies, work with IT Infrastructure personnel in the management of user security permissions within the restructured shared drives and get sign-off from IT prior toimplementing a new structure and proposing new permission changes to the business.

Manages the Company’s Records Retention Program; ensures compliance with code of federal regulations, state law, corporate policy and procedure and financial and regulatory accountabilities. Trains  personnel on the policies and legal requirements pertaining to records retention; ensures records are being maintained according to company  records retention policy and state and federal legal requirements. Leads the review, identification, implementation and enforcement of records retention policies

RESPONSIBILITIES:
    Analyze business requirements, recommend, develop and/or reengineer business processesfor the successful management of physical andelectronic records and document solution that will meet business goals and strategies.
    Ownership and life cycle management of files on all file shares
    Ownership and management of disk space usage and availability on servers with file shares
    Manages directory hierarchies on file shares according to business requirements
    Create drafts of policies and procedures for several disciplines within the company for review and obtain approvals.
    Provide day to day direction, monitor on-going projects for efficiency and completion
    Responsible timely completion of projects and tasks as assigned
    Manages the Company’s Records Retention Program; ensures compliance with code of federal regulations, state law, corporate policy and procedure and financial andregulatory accountabilities.
    Trains   personnel on the policiesand legal requirements pertaining to records retention; ensures records are being maintained according to   records retention policy and state and federal legalrequirements.
    Leads the review, identification, implementation and enforcement of   records retention policies.
·         Oversees the operating procedures of storage and retrieval of active and inactive permanent records.
    Ensures the protection of vital records and preservation of historicallyvaluable records.
    Coordinates litigation responses to subpoenas and production of records.
    Analyzes and evaluates records retention management throughout the US offices and recommends cost effective improvement strategies, promotes and fosters systematic and efficient records retention program initiatives.
    Manages the Records Center operations, including the computerized inventory and synchronization of the   Physical Records Management database and off- site vendors systems, as well as the organization, receipt, indexing, retrieval, access and destruction and archival of corporate records.
    Prepares project proposals andcost analysis; and provides monthly statistical status reports.
    Coordinates office records clean-up events in HQ and regional offices.
    Manages/processes storage and shredding billing and adheres to budgets.
     QUALIFICATIONS/REQUIREMENTS
    7 years of advanced RM knowledge; including records retention disposition procedures.
    Experience and knowledge of records management principles, trends and life cycle for each discipline with ability to translate and apply to company
    Previous experience with implementation, process improvement and working with staff    
    Strong project management skills to effectively plan, execute, attain needed buy- in, communicate and measure program progressand results. This applies to both business owners and senior records management team members.
    Must be able to work independently and in a team environment
    Must be proactive and be able to meet goals and tasks
    Strong customerservice skills
    Knowledge of electronic document management systems. Experience with Shared Drives and  SharePoint

Purpose: Provide business and legal research experience and skills that focus Employee Benefits related matters.  Support the ERISA and related practice areas while also participating in part of an overall NY research team that includes the library reference staff and information specialists in other practices.

Requirements:
·        Broad knowledge of standard secondary research resources. Resources include but not limited to Bloomberg, IntelliConnect, KnowledgeMosaic, Lexis, Westlaw, and RIA Checkpoint, as well as other Legislative and Securities & Exchange Commission and EDGAR filing resources.
·        Ability to apply source knowledge to research projects that produce complete, cost effective results.
·        Communication skills required to confidently deliver and explain research findings to attorneys both verbally and through written summaries and analysis.
·        Capable of working independently with minimal supervision and equally well as part of a team.  
·        4 year college degree, excellent academic credentials, excellent research and writing skills.

Departmental Focus

Reporting to the Director of the Science and Social Science Libraries, provides support in the discovery, use and management of locally created and externally available data; collaborates with subject librarians, GIS specialists, and StatLab staff to develop scalable, sustainable, and domain-appropriate data services in support of science and social science research at Yale; and may represent YUL to state, national and international data organizations.  Located at a consultation space in the Engineering classroom building and an office at The Center for Science and Social Science Information, works collaboratively with another Science and Social Science Data Librarian and is responsible for increasing visibility of available data resources through research support consultations, and other outreach efforts. Participates in research support and instruction program planning and implementation in the science and social science libraries and collaborates with other libraries and campus units.

Departmental Responsibilities

1.      Providing training and support in the discovery and management of locally created and externally available data, including numeric and geospatial data, and using associated software
2.      Identifying and acquiring data resources in the sciences and social sciences for use by the Yale community; reviewing licenses and contracts for appropriate terms of agreement in cooperation with electronic resources staff as needed

Required Education and Experience
Master’s degree in Library Science from an American Library Association accredited Library school. In selected instances, a post-graduate degree in a related discipline may be required or substituted for an MLS. Appointment to Librarian I  rank is limited to two years at which time it is expected that the individual will develop necessary requirements to meet expectations of performance at the Librarian 2 level.

Required Skills and Abilities
1.      Appointment at the rank of Librarian 2 requires a minimum of three years, and Librarian 3 five years, of relevant professional library experience and professional accomplishments appropriate to the rank.
2.      Demonstrated knowledge of statistical and spatial software for data analysis and with online and network based information systems. Familiarity with common metadata standards, e.g., DDI. Familiarity with principles of database design.
3.      Knowledge of or experience with  GIS data and software, such as ArcGIS. Familiarity with MATLAB, LaTeX, BibTeX and other specialized engineering related software. Familiarity with XML. Familiarity with data archival procedures.
4.      Demonstrated record of designing projects and bringing them to a conclusion in a timely fashion; working collegially and cooperatively within and across organizations; working independently with varied user groups in a complex organization and collaborate in a rapidly changing team environment.
5.      Strong public service orientation. Excellent analytical, organizational, management, oral and written communications, and interpersonal skills required.

Preferred Education, Experience, and Skills
